Fleet Asset Coordinator

Summary: The primary responsibility of this position will be for the maintenance of current asset data and collection of new asset information.  This position will also supervise the work of assigned employees. 

Scope of Responsibility: Handles confidential information with appropriate discretion; including administrative and financial details for the director of the department.

Essential duties and responsibilities may include, but are not limited to, the following:

  • Supervises work of and delegates work to assigned employees.
  • Monitors office workflow to ensure its timely completion.
  • Manages and maintains office records of expenditures.
  • Custodian of petty cash and maintain related logs.
  • Prepare and submit payroll in a timely manner.
  • Maintains departmental personnel records.
  • Responsible for ordering, inventory, and distribution of office supplies and materials.
  • Manages, maintains and updates files and records of automotive fleet; including vehicle registrations, license plate renewals and title applications.
  • Insures all invoices are processed in a timely manner and processes necessary payment authorizations.
  • Maintain records and prepares report summaries from information provided in the work order systems.
  • Will analyze special reports for AssetWorks PMM, Budget/Financial management, Asset, Maintenance and Parts management.
  • Oversee and monitor routine PM maintenance and monthly maintenance scheduling of vehicles and equipment.
  • Oversee the reimbursement process for warranty work performed.
  • Develop and maintain on-line auction data, photos and records.
  • Assist with the development and implementation of asset management plans for the Equipment Services Department.
  • Supervises the development and maintenance of the Rental Rate Report.
  • Assist Department Director in the development of the yearly budget process and maintaining certain accounts throughout the year.
  • Develops new reports though various software packages for department director.
  • Will work as a liaison (helping employees solve computer problems) as it pertains to Assets Works Management.
  • AVL (Automated Vehicle Locator) Administrator.
  • Will be responsible for training other staff on Asset Works Software.
  • Supports the departmental operations with regular and timely attendance.
  • Supports the relationship between the City of Odessa and the general public by demonstrating courteous and cooperative behavior when interacting with visitors and City staff; maintains confidentiality of work-related issues and City information; performs other duties as required or assigned.

Education, Training and Experience Guidelines: High School Diploma or GED is required.   Six (6) years of working experience in finance, project management, budget coordination, and rental rate preparation is required.  Must have AssetWorks software experience. 

Knowledge, Skills, and Abilities:

  • Must be organized.
  • Must be proficient and have basic computer knowledge
  • Must have knowledge in using Asset Works software and Microsoft Office.
  • Must have working knowledge of Fleet Management practices and procedures.
  • Must exhibit strong analytical, interpersonal and supervisory skills as well as experience dealing with consultants, vendors and employees at all levels of the organization.
  • Must be able to effectively communicate, bother orally and in writing.
  • Must be able to work in a team environment and get along with others.
  • Must be a confident, self-motivated individual that can function with a minimum of direct supervision.
  • Must have knowledge in personnel and payroll recordkeeping.

License and certification requirements: Must possess a valid Texas State Driver's License.  Must be a certified Notary for the State of Texas.
