Description | Acts as the primary contact for the Director’s Office; reviews correspondence as directed; receives inquiries which may include service questions, scheduled meetings or presentations, or general operations; may maintain calendars, track deadlines, assist with travel arrangements, process expenses; coordinates department functions, interacts with departments and outside agencies with program details and maintains tracking systems for projects and events. Develops and prepares materials and reports, and conducts research and analyzes data for presentations, written materials, briefings, and specific policy problems as requested of the Director to assist in following up on action items and resolving outstanding issues and other operational requirements. Keeps Director informed of the status of projects and other assignments to control workflow and more accurately forecast departmental needs. May attend and participate in various County board and committee meetings, department meetings, and community activities and task forces as required; gives presentations and answers questions with regard to presentation materials and findings, on behalf of the Director. Communicates with management and staff members to ensure coordination, preparation and distribution of information and materials and follows up on action items; researches issues and develops strategies for the administration of departmental programs or services, and provides information and/or recommends action to the Director. Assists in the preparation and management of the department’s budget to ensure adequate funding for service commitments and other operational requirements. Assists in the development and oversight of special projects and develops background information and reports for consideration by the Director; assists constituents with resolution of problems and other issues, which require researching issues and obtaining information from various divisions or agencies Job Requirements: Education and experience equivalent to a Bachelor’s degree from an accredited college or university in Public Administration, Business, Public Health, Communications or related field of study. Three (3) years of work related experience, preferably in Public Health. Skilled in the use of standard software applications. Ability to effectively communicate both verbally and in writing, and establish and maintain effective working relationships with employees, departments and the general public. Knowledge of basic accounting and budgeting concepts preferred. Must possess a valid Texas Driver’s License, with a good driving record. Standard office environment. Requires prolonged sitting, standing, walking, and the ability to lift files, boxes and other materials up to 25 lbs, unassisted. Ability to travel to various work site locations.
