Description

SUMMARY OF POSITION

Responds to citizen’s inquiries and complaints and directs citizens to appropriate departments. Assists the Administration Department with a variety of complex administrative and secretarial duties. 

EXAMPLES OF WORK

Essential Duties*

Answers the telephone, directs calls and receives visitors for the Mayor, City Manager, Deputy City Manager, Assistant City Manager, City Attorney, City Secretary, Communications Director and Human Resources Director and/or takes messages when appropriate;

Scans all Administration Department documents for records retention;

Assists in the reporting, monitoring, and maintaining of records of all city vehicles, city facilities, and city properties to insure proper insurance coverage as well as obtaining proper titles and licensing;

Maintains and monitors City contracts, lease agreements, and professional service agreements, confirming term of agreements and contracts, notifying department heads when agreements will soon be expiring;

Provides assistance to the Human Resources Department by processing employment applications, training certifications and filing and scanning of personnel records, and scheduling interviews;

Tracks and orders clerical and miscellaneous supplies for the Administration Department;

Tracks and issues city attire for city employees; and

Assists with requests for Public Information, maintaining log/file to include Attorney General opinions.

Other Important Duties*

Sorts and distributes daily mail;

Serves as essential emergency personnel when required;

Regular and prompt attendance is an essential function of the position; and

Performs such other related duties as may be assigned.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

Knowledge of:  standard office practices and procedures; and appropriate telephone etiquette.

Skill/Ability to:  operate a switchboard and standard office equipment, including copier, typewriter, fax machine, and calculator; type accurately at a speed of at least 50 words per minute; maintain a calm attitude and accurate work habits during stressful interactions with the public; demonstrate proficiency in both oral and written communication; establish and maintain effective working relationships with co-workers and the general public; and maintain appropriate necessary certifications.

Safety/Physical Requirements:  ability to lift/carry twenty-five (25) pounds of material, bending, stooping and reaching as needed to file; sitting stationary for extended periods of time.

ACCEPTABLE EXPERIENCE AND TRAINING

High school graduation, or its equivalent, plus at least one year of related experience;

or  any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.

CERTIFICATES AND LICENSES REQUIRED

Must be bondable and possess valid Texas Driver’s license.
