Under the supervision of the Human Resources Services Manager, the Administrative Support Assistant / Records Clerk is responsible for performing clerical support functions while applying departmental procedures, policies, and processes in an administrative support or customer service role which may require the exercise of initiative, sound judgment, discretion and attention to detail.

 

 Principal Duties:
  1. Responsible for establishing and maintaining record keeping and file systems related to department operations and activities. Perform tasks related to data entry, document scanning and maintenance of employee information.
  2. Maintain accurate and organized electronic and hardcopy file systems; perform a variety of related tasks such as making copies, scanning, classifying, indexing, filing, storing and retrieving of material; complete quality control checks and audits to ensure documents are located in the proper file, legible and scanned in their entirety. 
  3. Assist with document retention and compliance; perform various administrative and data entry work such as entering, updating, researching, verifying and/or retrieving data from various systems; track and maintain document records and provide updates on discoveries.
  4. Provide support to department in areas such as answering incoming calls, greeting office visitors for the Human Resources department and responding to various inquiries regarding departmental operations, services, policies and procedures and other pertinent information.  
  5. Perform a variety of administrative functions requiring considerable discretion; participating in department projects, responding to inquiries, providing information and referring advanced questions to appropriate person.
  6. Perform other related duties as assigned.

 

 Qualifications:
Required:      
High School Diploma or G.E.D., and one (1) year customer service, clerical or administrative support experience; or, an equivalent combination of education and experience. Possess intermediate level computer skills in the use of PC-based spreadsheet and word processing applications, preferably Microsoft Excel and Word. Good oral and written communication skills, including the ability to compose and prepare routine correspondence and documents. Well organized and detailed oriented. Ability to handle a large volume of work under minimal supervision. Ability to maintain confidentiality and discretion with regard to records and files. Ability to acquire general knowledge of City policies, procedures, and activities. Ability to deal effectively and courteously with peers, superiors, and the general public.
 
Preferred:     
Experience handling files and sensitive documents. Previous experience in the human resource field. An interest in human resources, or related field. 

 

 Supplemental Information:
This position is a part-time non-benefited position for an average of 19 hours a week.
