Description

GENERAL PURPOSE:  Under general supervision, performs a variety of skilled administrative functions and support for area of assignment; prepares various types of correspondence, reports, and documentation; maintains division records and files; conducts general accounting duties; and performs other specialized duties relative to area of assignment.

 

PRIMARY DUTIES AND RESPONSIBILITIES:

The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification, only a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

 

  • Provides administrative support and assistance to a division within the Planning and Community Development Department and/or other designated department personnel.
  • Maintains all pertinent files and records for all units in the division.
  • Answers incoming telephone calls; assists and/or directs customers; provides information and assistance to the public in person and via telephone; coordinates meeting requests; greets department visitors; delivers the highest level of customer service.
  • Assists the public with inquiries pertaining to issues and services delivered by the division.
  • Prepares and/or distributes correspondence, memoranda, agenda items/packets, reports, forms, application submittals, and other assigned documentation.
  • Updates and maintains assigned payroll, personnel, and accounting records.
  • Prepares responses to open records requests.
  • Takes and prepares the minutes of the meetings of boards and commissions administered by the division.
  • Assists with board/commission meeting scheduling; maintains board member contact information.
  • Processes various types of personnel documentation including employment applications, human resources, and worker’s compensation forms.
  • Processes and prepares invoices, purchase orders, payment requests, receipts, and deposits; reconciles petty cash funds; reviews and/or balances daily cash reports.
  • Provides assistance in annual budget preparation and/or tracking of expenditures; performs project accounting as assigned.
  • Conducts a variety of general office duties including data entry, submitting work orders, ordering office supplies, and managing documentation.
  • Performs other specialized duties as assigned.

 

 

 

MINIMUM QUALIFICATIONS:

Education and Experience:

High School Diploma or equivalent; and three (3) years administrative support experience; OR an equivalent combination of education and experience.

 

Required Licenses or Certifications:

  • Must possess a valid Texas Driver’s License.
  • Notary Public License may be required.

     

     Required Knowledge of:

  • General office practices and equipment.
  • Standard computer software applications.
  • Records management principles and standards.
  • Basic accounting principles and practices.
  • Department operations relative to area of assignment.

     

    Required Skill in:

  • Coordinating and performing a variety of skilled administrative functions.
  • Providing administrative support to assigned personnel.
  • Preparing correspondence, reports, and other department documentation.
  • Updating and maintaining department records and filing systems.
  • Performing a variety of general accounting duties.
  • Providing customer service excellence to internal and external customers.
  • Effective communication, both verbal and written correct grammar, composition, spelling, punctuation and vocabulary.

     

    Physical Demands / Work Environment: 

  • Work is performed in a standard office environment subject to sitting, standing, bending, and reaching for extended periods of time; and must be able to pull, push, lift, and carry items weighing up to forty (40) pounds.
  • Must be able to work some evenings as required for meetings.
  • May be required to work immediately before, during or immediately after an emergency or disaster.

Starting minimum salary range is $16.84 - $20.21 per hour based on experience and qualifications. Benefits include Texas Municipal Retirement System; paid vacation and sick leave accrual; medical, dental, vision, and life insurance. EOE
