Description

GENERAL PURPOSE:  Works closely with and supervises event staff functions, in a 55,000 square foot Civic/Convention Center to ensure a professional presence at the facility and satisfaction for clients, guests and vendors.

 

PRIMARY DUTIES AND RESPONSIBILITIES:

The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification, only a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.

 

  • Assists in supervising and developing assigned staff to include proper training for and compliance with use of equipment, proper cleaning methods, and established facility procedures and policies.
  • Performs duties in setting-up and breaking down for meetings and events as instructed through written and/or oral communication; inventories and stores equipment prior to and after events, ensuring its safe return to designated areas.
  • Serves as primary contact during event(s) between the clients and guests and the Civic/Convention Center to ensure facilities, equipment, physical setup, and labor provided meet the requirements of event and contractual agreements within the constraints of safety, health, and fire code standards.
  • Operates and/or assists clients with services and features in the Center, including but not limited to: objects such as rigging, theatrical sound, lighting, audio/visual equipment, HVAC and electrical systems, man-lift, and general cleaning equipment; parking, loading areas, wheelchair accessible ramps, and entrances/exits; and of services that are available through outside contractors.
  • Greets clients and guests upon arrival in a friendly and professional manner.
  • Monitors events to ensure guest and vendor safety, client requests are delivered, and to ensure City policies have been followed.
  • Monitors facility to ensure a clean, comfortable and safe environment; disposes of trash, replenishes restroom supplies, cleans areas as needed such as restrooms, floors, walls, mirrors, windows, kitchen equipment, tables, chairs, etc. using proper cleaning methods and equipment.
  • Communicates in a timely and professional manner with the general public, clients, City employees, caterers, rental companies, security, décor and other vendors to: ensure the smooth management and execution of events, represent the best interests of the facility and City, recognize, avoid and solve potential problems, anticipate needs, and resolve customer service inquiries and other issues.
  • Inventories and stores equipment before and after events to ensure their safe return to designated areas.
  • Prepares incident and event reports as needed; documents damage or policy violations to appropriate parties as directed.
  • Performs other duties as assigned or required.

     

    MINIMUM QUALIFICATIONS:

    Education and Experience:

  • High School diploma or GED equivalent AND four (4) years experience in a public facility or other service-focused hospitality position OR an equivalent combination of education and experience.  

     

    Required Licenses or Certifications:

  • A valid Texas Driver’s License.

     

    Required Knowledge of:

  • Characteristics of a public event facility, service methods and event execution.
  • Methods for delivering excellent customer service.

Required Skill in:

  • Supervising staff and delegating tasks.
  • Effective communication skills, both verbal and written for positive relationships with clients, guests, City employees, citizens, external agencies, vendors and the general public.
  • Analyzing problems, providing alternatives, and identifying solutions in support of established goals.
  • Assessing and prioritizing multiple tasks, projects, demands and events.

Physical Demands / Work Environment: 

  • This position will require a flexible schedule including weekdays, weekends and holidays, on any assigned shift including early and late night hours.
  • Work is intermittent and scheduled based on event needs.  Hours of work per week may vary depending on assigned duties; may work 10-20 hours per week depending on assignment.
  • Work is performed in a public facility; indoors and outdoors in all weather conditions; is subject to sitting, standing, bending and reaching for extended periods of time; and must be able to safely pull, push, lift and carry items weighing up to fifty (50) pounds.
  • This position will require work to be completed independently and without supervision.
  • May be required to work immediately before, during or immediately after an emergency or disaster.

Starting minimum salary range is $13.05 - $15.66 per hour based on experience and qualifications. EOE
