Administrative Specialist III:  Advanced administrative/executive work performing a variety of highly responsible, independent, confidential, detail-oriented and time sensitive support functions for Administration.

Duties:

  • Initial point of contact for one Assistant County Administrator and one Director for employees, outside agencies, media, other government entities and County residents. Exercises tact and diplomacy to analyze situations and develop effective course of action, or, if possible, handle. Responds or assigns requests received in any form (mail, phone, email) to staff for appropriate handling, tracking assignments to ensure they are completed in a timely manner.
  • Coordinate executive level internal and multi-agency meetings, internal/external appointments, conferences and speaking engagements, and assists in preparation of presentations, talking points and information required.
  • Coordinate all facets of travel, including registration, airlines, lodging and preparation of associated agenda/information packets or presentations. Ensures timely submittal of associated expense reporting.
  • Performs administrative functions associated with formal assignments directed by the County Commission through the County Administrator, including assignments to appropriate staff, tracking to ensure timely completion and submittal to County Administrator.
  • Independently prepares correspondence and formats/proofs reports and documents prepared for Assistant County Administrator and Director signatures.
  • Backup records custodian for Office of County Administrator and Deputy and Assistant County Administrators. Ensures activities associated with year-end records management process are in compliance with State Statutes.
  • Back-up for other Administration Office staff.

 

Minimum Qualifications:  An Associate's Degree from an accredited college or university; four to six years of secretarial or administrative experience with some executive exposure.  Year-for-year basis can substitute for the college degree.  

Preferred Qualifications:  Advanced Professional Certification highly desirable.

Job Competencies:  Standard business styles for correspondence; thorough knowledge of office procedures/practices, effective written/oral communication and interpersonal skills in dealing with internal and external customers; governmental structure/operations; thorough understanding of records retention/management process; sound independent judgment, ability to work independently, plan, organize and coordinate work assignments, and to prepare correspondence and administrative reports; excellent prioritization and time management skills; knowledgeable of budget process. Outlook, Word, Excel, PowerPoint, eCar & eBar process, travel voucher/expense reporting; IFAS, GovMax, SharePoint. Already is or willing to become a Notary Public.
