Description

Under general supervision, coordinates, and markets programs and special events, and other projects as assigned; coordinates assigned activities with other departments and outside agencies; provides highly responsible and complex administrative support to the Convention and Visitor’s Bureau Director.

 

DISTINGUISHING CHARACTERISTICS:

This position is responsible for the daily operations of programs and special events as well as creative marketing for CVB related events. The position reports directly to the CVB Director and represents the Director to the senior executive staff and the general public in his/her absence. 

 

DUTIES AND RESPONSIBILITIES:

The duties listed below represent the various types of work that may be performed. The omission of specific statements of duties does not exclude them if the work is related or a logical assignment to this class.

  • Responsible for pre-event consultation and planning, venue selection, vendor management, agenda development and show flow, event promotion and registration, budget management, event staffing, on-site event management, event follow-up and reporting.
  • Acts as program content liaison and collaborator for the City and CVB events, seeking, managing and supporting opportunities for engagement and collaboration across programs and departments.
  • Develops, reviews, manages, and monitors all event permits to ensure that clients meet all compliance, insurance, and regulatory requirements.
  • Completes contracts, agreements, book entertainment, purchase orders, and other contracts as required; manages negotiations with clients and vendors specific to each event
  • Coordinate logistics for the activities by setting up necessary equipment and acting as a liaison for program partners
  • Coordinates sponsorship opportunities and manages deliverables on executed sponsorship agreement(s) for each event(s).
  • Plans and executes marketing campaigns to include: email, direct outreach, website development, print advertising, social media, and other resources to assist in acquiring sponsors, speakers, and attendees
  • Market various areas by actively seeking to attract special events to the City and providing necessary support to facilitate such events.
  • Develops promotional and informational material utilizing multiple channels – ex. video, print, social, website, blog – for City and CVB related events. 
  • Manage financial activity for citywide festivals and prepare financial statements.
  • Respond to public inquiries in a courteous manner; provide information within the area of assignment; resolve complaints in an efficient and timely manner.
  • Manages the inventory of all program elements, provides program-specific attendance counts.
  • Perform other duties as assigned.

 

EMPLOYMENT STANDARDS:

Knowledge of:

Knowledge of the digital marketing landscape, including email marketing, website, search engine and performance marketing, digital content and online advertising

  • Strong project management skills and attention to detail with the ability to manage multiple initiatives and priorities while delivering results on-time and on-budget
  • The ability to communicate effectively internally and externally and serve as a subject matter expert within the field, proactively fostering training, development & teamwork.
  • Well organized and detail-oriented with a focus on quality assurance to ensure that the brand and properties are accurately represented in the online space
  • Excellent writing skills with the ability to proofread, edit and write marketing copy while adhering to brand standards
  • An eye for design and creativity to communicate across digital platforms
  • Operations, services and activities of a department.
  • Basic principles of marketing and communications.
  • Methods and techniques of providing secretarial support to the department.
  • Pertinent Federal, State and local laws, codes and regulations.
  • Basic principles and procedures of revenue generating accounts and financial analysis.
  • Methods and techniques of business report preparation.
  • Operations, services and activities of the city.
  • Operational characteristics of modern office equipment and tools including a computer.
  • Occupational hazards and standard safety practices.

MINIMUM QUALIFICATIONS:

Education, Training and Experience: Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.  A typical way to obtain the knowledge and abilities would be:

  • Bachelor’s degree in public administration, business administration, marketing or a related field preferred.  
  • A minimum of 5 years of programming/booking/community partnership/curation experience across a variety of disciplines. 

 

LICENSES AND CERTIFICATES:

A valid State driver license is required at the time of appointment and must be maintained throughout employment.
