Description

Under general supervision, performs administrative and secretarial in support of department operations.

  • Responds to and/or provides information to the media with regard to ongoing/upcoming projects of the Economic Development division.
  • Greets and assists visitors, screens and forwards telephone calls and provides general department and department-project information.
  • Provides administrative support; answering phones, produces memoranda, letters and reports; maintains personnel and attendance records; sends correspondence; and maintains files.
  • Working with the Communications Division, produces content, publications and press releases relevant to departmental projects.
  • Manages department-specific social media platforms to maximize dissemination of departmental communications; posts activities, events, project updates, etc.
  • Photographs and videos departmental projects, operations and activities to include in the department's social media platforms.
  • Coordinates department operations with community groups, civic organizations and home owners associations.
  • Researches, compiles, sorts, and calculates data from files and other sources to prepare statistical reports.
  • Designs, creates, maintains, and updates a variety of forms for departmental use; schedules meetings and events and maintains calendar of appointments.
  • Takes, transcribes and distributes minutes of meetings.
  • Categorizes and maintains manual and computerized filing systems; creates tracking system and forms; enters data; cross-indexes and files documents.
  • Processes purchase orders and requisitions.
  • Assists in the maintenance of the annual division budget.
  • Processes and enters a variety of personnel actions.
  • Prepares and enters agenda items.
  • Collects all data received and processes information for submission of the Monthly Activity Report to the City Manager's Office.
  • Maintains office supply inventory.
  • Performs other duties as assigned.

Requires a High School Diploma or GED equivalent, supplemented by one to two years of related experience; or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities. Possession of or ability to readily obtain a valid Driver's License issued by the State of Oklahoma for the type of vehicle or equipment operated.
