Scope of Work:

Accepts and processes payments for Municipal Court violations.  Data entry of records into the Court Case Management System. Answers inquiries regarding Municipal Court activities and functions in a high volume environment. Performs other activities including filing, cash balance reports and depositing of monies collected by Municipal Court.

 Essential Job Duties:
  • Responsible for understanding State Law and how it applies to Municipal Court jurisdiction.
  • Answers citizen inquiries, either on the phone or in person.
  • Accepts monies from citizens for violations filed in the Municipal Court.
  • Ability to make change for cash accurately.
  • Processes payments received through the mail, night deposit or online.
  • Forfeits cash bonds as required and deposits monies into the appropriate account.
  • Calculates the amount of applicable jail credit and balance due for defendants released from custody.
  • Daily reconciliation of cash drawer and monies collected.
  • Prepares a daily report of all monies collected by Municipal Court.
  • Deposits monies collected by Municipal Court.
  • Processes defendants to sign in for daily arraignment sessions
  • Scan case files into the Municipal Court Records Management System using a document imaging system.
  • Will monitor and work assigned queues in Incode.
  • Processes and explains financial forms, and  payment agreement to defendants requesting payments.
  • Verifies and confirms address and email information for defendants
  • Updates defendant information in the Municipal Court Records Management System.
  • Processes and explains to the defendant the Driving Safety Course Agreement or Teen Court Agreement.
  • Processes and explains to the defendant the requirements of the court order for minors convicted of alcohol or tobacco related offenses.
  • Processes and explains Deferred Disposition to the defendant.
  • Receives and routes mail.
  • Maintains accurate and efficient storage of divisional records.
  • Writes documents including reports and office memorandums.
  • Attends training specific to legislative changes affecting municipal courts or records management software upgrades.
  • Works 8:00 a.m. to 5:00 p.m. Monday, Tuesday, Wednesday with alternating Thursdays 8:00 a.m. to 7:00 p.m. and alternating Fridays 8:00 a.m. to 2:00 p.m.
  • Performs other duties as assigned by the Presiding Judge, Court Coordinator or Court Administrator.
 Physical and Environmental Conditions:

Ability to move about an office or building. Ability to stand for long periods of time. Ability to sit, kneel.

 Required Qualifications:

Ability to effectively communicate with the Presiding Judge, Associate Judges, Court Coordinator and other Municipal Court staff regarding cases filed with Municipal Court.  Ability to effectively communicate well with the general public to answer questions, take complaints and direct persons to the appropriate staff member.  Exceptional skill required handling citizens in delicate situations with tact and diplomacy both on the phone and in person.,
 
Knowledge of Municipal Court activities and functions preferred.  Ability to read and understand manuals in order to record work activities, keep records or work with computers.  Must possess strong organizational and customer service skills.  Proficiency with office equipment including personal computer, telephone system, facsimile and copy machine.  Experience in typing, data entry and word processing.  Experience with Microsoft Office applications.
 
High school diploma or equivalent plus one to three years' experience working in a related field required.
